Obby Concierge T&Cs

We are so excited that you will be working with us as an Event Partner for the Obby Concierge.

Please read below our terms for delivering events under this arrangement.

Definitions:

Reservation Period -
This is a period of 14 days from when you confirm acceptance of an Obby concierge event request.

Event Partner Price - This is the price, you agreed ahead of time, with Obby for running an Obby Concierge event.

Event Cut-off Date - This date is defined as 14 days before the agreed event start date.

A. Event Notification and Payments

  1. Event notification:

    1. When receiving an event date request email from Obby, you should respond to this email as soon as possible.

    2. You understand that we will notify a number of Obby Concierge providers at the same time and we will assign the event on a first come, first serve basis.

  2. Reservation policy:

    1. If you confirm, you agree to hold the reserved date for up to 14 days from the date of request - this is referred to as the 'Reservation Period'

    2. During this time, you agree not to confirm another event request from Obby or any other source.

  3. Confirmation:

    1. Obby will confirm the minimum number of guests with you within the Reservation Period.

    2. Once confirmed, you are guaranteed to be paid the Event Partner Price for the minimum number of guests.

  4. Changes & Reschedules:

    1. During the Reservation Period the client can request a change to the date of the event, which we will communicate with you.

      1. If you are able to accept a new date then this will be confirmed and updated.

      2. If you are unable to accept a new date then the event will be cancelled and no payment will be made.

    2. You are guaranteed to be paid the Event Partner Price for the minimum number of guests confirmed at the end of the Reservation Period. If any changes to the date are requested after this point, it is treated as an entirely new event.

    3. You agree that Obby has the right to add additional guests to the event within your agreed capacity at any point up to 14 days before the event start date, known as the "Event Cut-off Date".

      1. Once confirmed, you are guaranteed to be paid the Event Partner Price for updated number of guests.

  5. Cancellation:

    1. During the Reservation Period the client can cancel the event request with no fees. If cancellation occurs during this time, the event is cancelled and no payment will be made.

    2. Once the Reservation Period is complete, unless cancelled, you are guaranteed to be paid the Event Partner Price for the minimum number of guests at this stage.

B. Invoicing

  1. When you accept an event request, we will place Private Event order in your timetable on your Obby dashboard. This will include the date, start time, and est. number of guests.

  2. Until this is confirmed, this will be in a Pending state.

  3. When the event is confirmed, it will be marked as paid and we will add into the details what the minimum numbers of guests are that have been confirmed.

  4. We will generate an invoice and set it for automatic payment through our system for 24hrs after the event date.

  5. You will receive a copy of this invoice for your records.

C. Event Organisation / Experience

  1. Pricing:

    1. You agree to deliver your event for the Event Partner Price, set in advance, with Obby.

    2. Any changes to this price must be communicated with a minimum of 30 days to Obby before an event date.

    3. You agree, within the agreed price, that you (and any assistants you need) will travel and bring your materials to any location within Zone 1, 2 in London.

  2. Timing:

    1. You must arrive a minimum 30 minutes before the start of each event to set up your materials, ready for our guests.

    2. You must remain after the event end to ensure the venue is put back to it's original state.

  3. Event management:

    1. All events are branded as Obby Concierge, meaning that, other than branding on materials, you agree not to wear any personal branded items during the event.

    2. Most events will have an Obby host present, this host is expected to do the following:

      1. Welcome guests

      2. Assist with event delivery (where possible)

      3. Upsell additional costed items (catering etc.)

      4. Photography / videography services

    3. We endeavour to have an Obby host at each event, in scenarios when we are unable to do this we may require you to act as an Obby host.

    4. You are responsible for supplying the appropriate number of instructors relative to the size of each event. Our advised ratio is 1 instructor to 10 guests, but this is at your discretion.

    5. You will be responsible for clear down and should put in any preventative measures to avoid damage to furniture from your activity e.g. table covers.

  4. Event Photography:

    1. Obby reserves the right to take photographs at our events which may be used for promotional marketing activity.

    2. Any pictures/videos taken by you during the event may be used on your social media channels so long as they are used in conjunction with the tag @obbyuk, hashtag #obbyconcierge, and are not used to promote competing services.
