How can I change an in-person class to take place online instead?

Do you have in-person classes taking place that you now wish to take place live online instead?

If so, we've built a one-step system to alert your students, send a video conferencing link, and get the information you need from them as well.

To do this, you will need to login to your dashboard and navigate to the Timetable section.

Select each date that you wish to move online and click the "Move this class to be held live online" button from the three dot drop down menu on the right.

This will open an email template that you need to fill out with the relevant details.

The necessary details are:

  • Zoom or other video conferencing link (e.g. Invite link from Zoom meeting)

  • A message to your customers explaining the change, and confirming any other small changes, like a shorter duration or alterations to the class outline.

  • Confirm if you will need the postal address of each student to send out materials.

These details will be sent in an email to each customer who has booked, along with links to reschedule or refund their booking if they are not happy to move to a live online format.

If you need their postal address, they will be asked to directly reply to you with these details.

It will be made clear to customers that their booking will remain confirmed unless they take action to reschedule or refund their booking. If you'd like them to confirm in writing as a courtesy, please ask them to do so in your message, by directly replying to the email.

N.B. Please note that the class will still appear as an in-person class on your Timetable and Bookings record. This feature is designed only to alert your students of the changes and allow them the option to reschedule/refund if they prefer not to do the class online.
